As part of our growing Development Team, the Development Assistant provides administrative support to the Major Gifts Officer and Grants Officer. The Development Assistant supports donor communication and stewardship, maintains accurate records in our CRM system, and carries out other administrative duties in support of Contemporary Calgary’s development goals.

Job Description 

The Development Assistant supports the Major Gifts Officer and Grants Officer with donor communication and stewardship, database management, individual giving (including the Leadership Circle Donor Recognition Program), events, grant reporting, and other administrative work.

Key Responsibilities 

Donor communication and stewardship

  • Ensure donors receive timely, appropriate, accurate information and benefits in a professional manner
  • Assist in the creation of corporate summary reports, donor impact reports, and other deliverables
  • Coordinate donor acknowledgment, including drafting donor recognition communications and coordinating other types of recognition including the donor wall

Database Management

  • Maintain Contemporary Calgary’s fundraising database, including updating constituent records, recording and tracking donations, running reports, and ensuring donor records are up-to-date and accurate

Individual Giving and Leadership Circle Donor Recognition Program

  • Assist with Contemporary Calgary’s annual appeals and related individual donor initiatives
  • Coordinate or assist in interfacing with third party fundraising initiatives and events such as Birdies for Kids
  • Work with Visitor Engagement Coordinator to transition Members into Donors
  • Work with the Marketing and Communications Officer to ensure website recognition and information is up-to-date and accurate

Events

  • Assist with annual LOOK fundraising gala as well as other events, including Leadership Circle receptions and VIP exhibition openings
  • Work with the Marketing and Communications Officer and Graphic Designer to prepare and send invitations
  • Track RSVPs, respond to guest inquiries, and provide other event support as required

Grant Reporting Support

  • Work with the Grants Officer and Visitor Engagement Coordinator to collect statistical data for use in grant reporting
  • Track and record Contemporary Calgary’s activities as required for grants administration
  • Work with colleagues to carry out program evaluation and participant and visitor surveys

Administration

  • Fill out gift reports and pledge agreements for donations
  • Prepare letters, renewals, tax receipts, and other donor materials
  • Maintain contract and pledge files and create system for pledge payment reminders to donors
  • Assist the Major Gifts Officer and Grants Officer with other fundraising tasks as required. This may include but is not limited to assisting with events, research, writing, records management, and tours

Skills, Experience & Traits

  • Bachelor’s Degree or acceptable equivalent combination of education and experience
  • Minimum of two (2) years of related experience in an administrative or fundraising environment
  • A genuine interest and passion for the mission of Contemporary Calgary and working knowledge/background in the arts
  • Experience with a fundraising database and MS Office
  • Experience with graphic design software an asset but not required
  • Proven ability to collaborate with a variety of relevant parties, including volunteers, team members, and donors
  • Exceptional communication and interpersonal skills
