DEPARTMENT SUMMARY
External Relations is the division of the university responsible for promoting strong and responsive relationships between the University of Victoria and the external communities it serves. The division supports UVic’s active engagement in the issues, opportunities and challenges facing our region, our country and our world, and seeks to build partnerships with individuals and organizations who share UVic’s vision of contributing “to the betterment of a rapidly changing global society”.
The Alumni and Development office works to advance the vision of the university by securing and increasing private sector funding for campus initiatives as well as fostering lifelong relationships between the university and its alumni, friends and community members with the goal of increasing personal involvement and commitment to the philanthropic support of the university’s academic mission and priorities. Development provides fundraising expertise and assistance and coordinates and integrates fundraising initiatives for the university community to achieve optimal long-term results with donors.
MANDATE/CORE PURPOSE OF ROLE
Reporting to the Director, Faculty Development, this position is responsible for leading a group of faculty and/or unit advancement programs. The Associate Director is a senior member of the Faculty Development team working with several smaller-scale units on the planning, implementation, integration, management and evaluation of their faculty/unit-based fundraising programs. The Associate Director may act on behalf of the Director of Faculty Development in their absence and may lead team meetings and discussions across Alumni and Development.
OBJECTIVE
Reporting to the Director, Faculty Development and working in collaboration with Deans/unit head, the incumbent is responsible for leading a small team of faculty/academic unit frontline fundraisers working in distinctly different, complex, and diverse cultures to create and implement the strategic direction of the faculty/unit fundraising program.
In alignment with the Director, Faculty Development, the Associate Director provides strategic direction and oversees the day-to-day operations of their team towards their annual faculty fundraising goals, set in conjunction with the Dean/unit head. The Associate Director acts as a fundraising resource to assigned faculty-based advancement teams and provides mentorship and coaching to Deans/heads and faculty-based Development leaders (Senior Development Officers, Development Officers) and their teams to articulate priorities, identify and qualify prospects and to develop cultivation and solicitation strategies with a focus on major and principal gifts.
KEY RESPONSIBILITIES
Leadership
- Provides leadership to direct reports in faculties or units and strategic counsel to Deans and unit heads on all aspects of development including articulating priorities, setting annual and campaign goals for the faculty and identifying and qualify prospects and to develop cultivation and solicitation strategies with a focus on major and principal gifts.
- Works with the Deans, unit heads, academic leadership and Development Officers to create and integrate their fundraising priorities, plans and goals forming synergies between faculties and integrating with university priorities.
- Advises Director, Faculty Development on Deans’ and unit heads’ individual fundraising metrics and identification of Deans /Unit heads professional development needs.
- Works closely with Director of Faculty Development, Director of University Development, Director of Campaign & Strategic Initiatives, Director of Alumni Relations, and Director of Advancement Services to engage with key central development units to optimize faculty- and unit-based fundraising through
collaborations with Office of Principal Gifts, Annual Giving, Planned Giving, Leadership Giving, Prospect Research, Donor Relations, the Associate Director of Philanthropic Partnerships, etc. - Assumes the day to day administrative and supervisory responsibilities for direct reports and monitors their workload as well as meeting resource needs as team grows to meet the Campaign needs.
- Plays a leadership role in motivation, mentorship and counsel with development officers. Coaches and monitors team and individual performance towards metrics and goals through regular check ins.
- Identifies training needs and, where applicable, leads educational/training programs for Development staff in fundraising methods and procedures.
Administration and Reporting
- Ensures compliance with all relevant University policies, procedures and processes
- Ensures staff are complying with prospect management guidelines and maintaining data integrity
Communication and Internal Collaboration
- Encourages close collaboration and sharing of knowledge and expertise between colleagues across A&D.
- Ensures that all University leaders, faculty and staff involved in the strategy for a prospect/donor are consulted and involved in the implementation of pan-university fundraising plans
Fundraising
- Direct, develop and steward UVIC relationships, to secure private sector gifts from individuals, corporations, and foundations at the major gift plus level
- Manage a prospect pool of major and principal (focused on $25K dollars + capacity) prospects; develop and implement tailored action plans/strategies for identifying, cultivating, soliciting and stewarding prospects
- Meet with major and principal gift donors and prospects one on one and on occasion with other UVIC senior leaders
- Initiate and manage complex donations, including complex multi vehicle gifts both current and deferred
- Develop and maintain excellent working knowledge of the University’s activities and priority projects
- Direct the development and review of proposals, strategies, gift agreements, stewardship plans and events developed for Major Gift prospects/donors in units under the incumbent’s supervision.
QUALIFICATIONS
This position requires a level of education, training, and experience equivalent to a Bachelor’s degree in a relevant area, completion of the CFRE certification, plus minimum 7 years of relevant experience. An equivalent combination of education, training, and experience may be considered. Completion of an advanced degree is an asset.
Knowledge, skills, and abilities include:
- Progressive fundraising experience with a proven track record of achievement and success with raising funds at the major gift plus level from individuals, corporations and foundations.
- Demonstrated experience leading, motivating and coaching teams (directly or indirectly) is considered an asset.

- Contacts: Communicates regularly with stakeholders across campus from all levels of the institution, representing the department with strong interpersonal skills to influence and motivate others, and to promote, justify and settle highly sensitive matters. Sensitivity to the diverse student and staff population
on campus, often working with confidential and sensitive information requiring a mature and professional demeanor. External contacts include individuals with high net worth, senior leaders of industry, executive staff and board members, and government representatives. - Level of Responsibility: The Associate Director is responsible for advising and partnering with the Director, Faculty Development, Deans and unit heads, fundraising staff and faculty members on the overall faculty and unit strategies and goals and on top prospect and donor strategies.
- Decision-Making Authority: The Associate Director works with confidential and sensitive issues relating to the donor’s philanthropy. The impact of decisions of the incumbent will have significant effect on the fundraising program and the University. The Associate Director makes decisions on the call strategy and
follow up activity of many of the University’s top donors. - Physical and Sensory Demands: Minimal physical demands typical of an office environment and the demands related to significant travel.
- Working Environment: The Associate Director requires an ability to work under pressure, juggle multiple timelines, negotiate with donors, mediate among staff and faculty, interact with a diverse client base including other members of the UVIC fundraising team, Deans and unit heads, faculty members, senior
administration and staff of other university business units.
