ABOUT US: Alberta Animal Rescue Crew Society (AARCS) is a registered non-profit charity located in Calgary, Alberta helping over 4,000 animals find loving adoptive homes each year. Our mission is to rescue and rehome animals in need and provide community support programs that help people and their pets.
THE ROLE: The Donor Experience Administrator is responsible for helping to ensure the organization exceeds donor expectations in ways that we record, acknowledge, recognize, engage and are accountable to our donors. This role plays a key part in ensuring accuracy and timely processing of donations while delivering exceptional donor experiences. A master administrator of Raiser’s Edge, you are responsible for managing the maintenance of the donor database, handling enquiries from donors regarding tax receipts, record updates and monthly donations. Working collaboratively with the Resource Development team, you assist in overall fundraising efforts by providing creative input, ideas and concepts and support the team in other digital/technical support as needed.
POSITION REQUIREMENTS:
- Highly detail-oriented, bringing forth a critical degree of accuracy regarding data entry and analysis.
- Exceptional customer service skills.
- Strong analytical skills and an understanding of accounting principles.
- Knowledge of and experience working with CRA receipting guidelines.
- Experience with querying and reporting as well as data entry and gift acknowledgement.
- Experience and expert knowledge of CRM systems and processes is a requirement.
- Experience with Raiser’s Edge (NXT).
- Genuine interest in animal welfare.
- Strong organizational and technical skills.
- Possess the ability to be concise, thorough and attentive to details.
- A quick thinker and efficient self-starter who takes initiative; has the ability to set priorities and manage workloads with minimal supervision.
- The ability to effectively communicate information in written and verbal format.
- Non-profit experience and a solid understanding of donor management systems, including Raiser’s Edge is considered an asset.
PRINCIPAL ACCOUNTABILITIES:
- Responsible for day-to-day donor database management, including processing donations, processing constituents and running required daily reports (Daily Donations, Weekly Donations, Daily Declined Transactions, and Tribute/Memorial Donations).
- Managing donor inquiries, including reissuing tax receipts to donors, updating credit card and address information.
- Providing positive donor experiences through prompt and friendly customer service.
- Responsible for donor database maintenance, including running maintenance queries, merging duplicate records, updating contact information, updating mailer list subscriptions and updating mailing addresses to standards set by Canada Post.
- Run statistical analysis queries and reports in Raiser’s Edge as needed.
- Maintain and follow up with donors who sign up for the Legacy and Forever After Pet Program.
- Administer the Third Party Fundraising, lottery and auction platforms so that records are properly imported into the donor management system.
- Create and maintain Fund, Campaign and Appeal categories in the donor management system.
- Assist in entering all non-integrated gifts into the donor management system.
- Set up events and donation forms in Raiser’s Edge and the website for fundraising initiatives.
- Maintain the monthly donor database to ensure new donors are thanked, monthly gifts are acknowledged when received, failed transactions are followed up on and credit card information is updated promptly.
- Assist donors with access and use of the Donor Portal tool.
- Issue consolidated annual tax receipts to all monthly donors.
- Prepare and audit mailing lists for mail-outs.
- Administer user access and facilitate training for staff using Raiser’s Edge.
- Assist with donor recognition efforts, including writing thank-you emails and cards.
- Improve processes and find innovative solutions for the donor management system as new enhancements are released in the system.
- Assist in overall fundraising efforts by providing creative input, ideas and concepts.
- Other tasks as assigned.
EDUCATION/TRAINING:
- Minimum High School Diploma or equivalent.
- Previous experience in a similar administrative role would be considered an asset.
DETAILS:
Position: Permanent, Full-time.
Shift: 8 hour shifts, Monday to Friday
Start Date: Immediately
Location: Safe Haven – 5060 74 Ave SE, Calgary AB T2C 3C9
Salary Range: $40,000 – $50,000 annually, based on experience and qualifications.
