OVERVIEW
Reporting to the Director of Advancement, the Alumni & Donor Relations Officer is part of a team that implements a comprehensive advancement and alumni engagement program to support the exceptional student experience at WIC. This position works closely with the Director of Advancement to implement fund development and alumni engagement plans.
The Alumni & Donor Relations Officer supports the expansion of philanthropic and advancement literacy through the exceptional engagement of the College’s most important relationships: with alumni, donors, students, faculty, staff parents and grandparents. This position will build upon the exceptional alumni relations work already in place at WIC.
Key Duties and Responsibilities
- Works directly with donors, volunteers, parents, grandparents, staff, and alumni to make student life at WIC the best it can be.
- Meets individually with alumni, prospective and current donors to build meaningful connections, reflecting the gratitude WIC has for these relationships. Identifies their interests and aligns this with WIC priorities.
- In collaboration with the Director of Advancement, creates and implements an alumni engagement plan that focuses on providing opportunities/activities/events to further engage alumni in a variety of ways, including: WIC Connect, LinkedIn, other social platforms, and opportunities to volunteer, mentor, speak with WIC alumni and students to encourage donations.
- In collaboration with the Director of Advancement develops and implements the Annual Fund campaign. Represents WIC at alumni, donor, and community events.
- Ensures alumni engagement is meaningful and expanding.
- Provides database and administrative support to track engagement and key alumni and donor metrics.
- Conducts alumni and prospective donor research for WIC engagement and fundraising priorities including the Annual Fund Campaign, Capital Campaigns, major, and planned gifts.
- Creates and organizes special events that elevate donor/alumni sights as to how they can be an active and engaged part of the WIC community, including what volunteering and giving makes possible at WIC.
Alumni Relations (40%)
- In collaboration with the Director of Advancement develops and implements an Alumni Engagement plan that is strategic and focused on the growth of the alumni program at WIC.
- Recommends long and short-range goals and overall direction of alumni engagement program
- Promotes and fosters effective alumni relations through consistent communication and personal contact with current alumni using a variety of platforms (WIC Connect, LinkedIn, Facebook, and other platforms).
- Provides operational and staff support to alumni groups, including WIC’s Alumni Committee, as assigned.
- Develops, designs, and arranges for promotional materials for alumni functions and/or services in collaboration with the Director of Marketing & Communications.
- Plans, coordinates, and schedules all logistical details and makes necessary arrangements for Alumni events.
- Evaluates and monitors effectiveness of connectivity platforms including WIC Connect and identifies challenges, recommends improvements, and implements changes.
- May act on behalf of the Director in their absence, as assigned.
- Serves as a resource to alumni and othersregarding alumni and the College.
- Updates public facing marketing materials including the website and print publications
Donor Relations (40%)
- In collaboration with the Director of Advancement, is the project lead for the Annual Fund campaign.
- Builds relationships: cultivates, solicits, and assists with stewardship of qualified prospective donors.
- Plays a key role in stewarding the College’s supporters.
- Works with the Director of Advancement and Head of School to implement appropriate donor recognition and stewardship strategies, leading to long-term, meaningful donor relationships.
- Clearly articulates WIC’s values and priorities.
- In collaboration with the Director of Advancement prepares written cases for support, grant proposals, briefing documents, presentations, gift agreements, and other relevant materials.
- Identifies potential funding sources (individuals, corporation, organization, and foundations).
- As requested, completes research on alumni, donors, and prospective donors, using publicly available sources, and compiles comprehensive research profiles of these key stakeholders.
- Researches and identifies Corporate Matching programs aligned with donors and WIC families.
- Oversees online giving and monthly giving platforms and appeals.
- Collaborates and builds strong relationships with WIC staff to grow the College’s philanthropic literacy.
- Meets defined annual metrics and is accountable for reporting progress throughout the year.
Administrative (20%)
- Ensures accurate and complete database records; capture contact, biographical and career information via research, surveys, projects(e.g., alumni archives), correspondence, website, social media (Twitter, LinkedIn), postal returns, etc.
- Keeps accurate donor and alumni records by recording relevant information in the database, produces tracking reports, correspondence, and keeps alumni and donor records up to date.
- Produces lists of parents, alumni, and other stakeholders from the database to support invitations to WIC events, sending of newsletters, e-blasts, and direct mail/annual campaign pieces.
- Interacts with all necessary departments including colleagues in Finance to input gift information, issue tax receipts, and analyze and gather financial report requirements for the Advancement Committee, Alumni Committee and Board of Directors.
- A high degree of attention to detail is necessary to ensure accuracy of material produced.
- Utilizes the Canadian Accredited Independent School (CAIS) network for resources, information and best practices on fund development and gift processing.
- Reviews and maintains a working knowledge of WIC policies and procedures related to Advancement
The salary range for this position is $75,000-$90,000 in addition to an inspirational working environment, supported development, growth opportunities and a competitive and comprehensive compensation package, including WIC’s RRSP matching program.
